Privacy Policy

We take your privacy seriously - here's how we handle your info

Last Updated: November 5, 2025

Hey, Let's Talk Privacy

Look, we get it - privacy policies can be a snooze-fest. But here at Crysthaven Fortress, we're not about hiding stuff in legal jargon. We're straight shooters when it comes to your personal info, just like we are with your car's diagnostics. This policy breaks down what data we collect, why we need it, and how we keep it safe. Think of it as the service manual for how we handle your information.

When you bring your Bimmer, Benz, or Porsche to us, we need some basic info to keep things running smoothly:

  • Contact Details: Your name, phone number, email address - you know, so we can actually reach you when your car's ready or if we find something that needs attention.
  • Vehicle Information: Make, model, VIN, mileage, service history. This isn't us being nosy - we need this stuff to properly diagnose and fix your ride.
  • Payment Info: Credit card details, billing address. We don't store full card numbers on our end though - that goes through our secure payment processor.
  • Service Records: What we've done to your car, parts we've installed, diagnostic codes we've pulled. This becomes your vehicle's health record with us.
  • Website Data: If you're browsing our site or booking appointments online, we'll collect some basic stuff like IP address, browser type, and pages you visit. Standard web stuff really.

We're not selling your data to random companies or spamming you with junk. Here's what we actually do with it:

  • Service Delivery: To fix your car, schedule appointments, send you reminders, and follow up after service. Pretty straightforward.
  • Communication: We'll shoot you emails or texts about your appointments, service updates, or if we spot something during an inspection. We might also send occasional tips about maintaining your specific vehicle.
  • Record Keeping: We maintain service histories so we can track what's been done and catch patterns that might indicate bigger issues down the road.
  • Payment Processing: Obviously, to charge you for the work we do. No free lunches here, folks.
  • Legal Compliance: Sometimes we gotta keep records for warranty claims, insurance purposes, or regulatory requirements. It's part of running a legit shop.
  • Improving Our Service: We look at trends and feedback to get better at what we do. Which services are most popular, where we can improve, that kind of thing.

We protect your data like it's the keys to a mint condition E30 M3. Here's how:

  • Secure Storage: All digital records are stored on encrypted servers with restricted access. Only our team members who need the info can see it.
  • Physical Security: Paper records (yeah, we still have some) are locked up tight in our office. No one's wandering in off the street to browse customer files.
  • Payment Security: We use PCI-compliant payment processors. Your credit card info is encrypted and we never see or store the full numbers.
  • Staff Training: Our crew knows the deal about keeping customer info confidential. It's part of the job.
  • Regular Updates: We keep our systems patched and updated to protect against new security threats.

That said, no system is 100% bulletproof. We do our best, but if you're emailing us sensitive info, just know that email isn't the most secure method out there.

We're pretty tight with your info, but there are a few situations where we might need to share it:

  • Service Providers: Sometimes we work with specialized partners - like if we need to send your ECU out for custom tuning or order parts from suppliers. They only get what they need to do their part.
  • Payment Processors: Your payment info goes through secure third-party processors (like Stripe or Square). They have their own privacy policies.
  • Legal Requirements: If the law says we gotta hand over records - like for a court order or regulatory compliance - we'll do it. We're not trying to catch any charges ourselves.
  • Insurance Companies: If you're making a warranty or insurance claim, we might need to share service records with them. But only with your okay.
  • With Your Permission: If you want us to coordinate with another shop or share info with someone else, we'll do that when you give us the green light.

We DON'T sell your personal information to marketing companies, data brokers, or anyone else. That's not how we roll.

Like pretty much every website these days, we use cookies. Not the chocolate chip kind unfortunately.

  • Essential Cookies: These make the website actually work - like remembering you're logged in or keeping items in your appointment cart.
  • Analytics Cookies: We use tools like Google Analytics to see how people use our site. Helps us figure out what's working and what's confusing.
  • Preference Cookies: These remember your settings so you don't have to keep re-entering stuff.

Most browsers let you control cookies through their settings. Just know that blocking all cookies might make some parts of the site not work right.

Under Canadian privacy laws (PIPEDA specifically), you've got some rights when it comes to your personal info:

  • Access: You can ask to see what information we have about you. We'll show you, no problem.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to delete your info? We can do that, as long as we don't need it for legal or accounting reasons. Service records usually need to be kept for a certain period.
  • Opt-Out: Don't want our promotional emails anymore? Click unsubscribe or tell us. We'll still need to send you stuff directly related to your service though.
  • Data Portability: Need your service records for another shop? We can provide them in a usable format.

To exercise any of these rights, just shoot us an email at service@crysthavenfortress.info or give us a call at (604) 827-4539. We'll get back to you within 30 days.

We don't keep your info forever, but we can't delete everything immediately either:

  • Service Records: We typically keep these for 7 years. That's pretty standard in the industry and helps with warranty issues or if you come back later.
  • Financial Records: Tax and accounting records need to be kept for at least 7 years. That's a legal requirement, not us being pack rats.
  • Marketing Data: If you unsubscribe from our emails, we'll remove you from the list but keep a record that you opted out so we don't accidentally add you back.
  • Website Analytics: Usually kept for 2-3 years, then it gets automatically purged.

After the retention period, we securely delete or destroy the information. Old hard drives get wiped properly, paper files get shredded.

Our website might have links to other sites - like parts suppliers, manufacturer resources, or our social media pages. Once you click those links, you're on their turf and their privacy policies apply.

We try to only link to reputable sites, but we can't control what they do with your info. So if you're concerned, check out their privacy policies before sharing anything sensitive.

Our services are for adults who own vehicles. We don't knowingly collect information from anyone under 18. If you're a parent and think your kid has somehow given us their info, let us know and we'll delete it ASAP.

We might update this policy from time to time - new laws come out, we add new services, technology changes, you know how it goes. When we make changes, we'll update the "Last Updated" date at the top of this page.

If we make any major changes to how we handle your info, we'll let you know via email or a notice on our website. We're not gonna sneak anything past you.

Got questions about this privacy policy? Want to exercise your rights? Or just want to chat about how we handle data? We're here for it.
